Associate Manager, Enrollment Advisor at Virta Health

The Enrollment Advisor team at Virta provides proactive motivation and information for our applicants throughout the enrollment process, from the moment they apply to Virta until they are enrolled in the treatment. EAs  proactively call applicants to make a personal connection, answer questions, provide support and encouragement, and guide the applicant through the enrollment process. This is a key role in Virta’s growth team, as your work will determine just how many patients have the chance to reverse their diabetes. We’re looking for a smart, kind, determined, outgoing, and detail-oriented person to join us. The Enrollment Advisor is an organized, empathetic, sales-oriented person with strong customer service  skills who is willing to tackle any challenge and is driven to provide access to the Virta Treatment to the maximum number of people!

Responsibilities:

  • Manages high volume of applicants from start to finish in the enrollment process, and is ultimately accountable for the conversion rate of the applicants
  • Calls and emails applicants regularly (>60-80% of the time on the phone directly working with applicants) to answer questions accurately, with compassion & patience 
  • Becomes an expert on the Virta Treatment, including staying up to date with the details of the science and effectively communicates the science behind nutritional ketosis and diabetes reversal to applicants
  • Works  with confidential health information and/or issues using discretion and judgment
  • Manages applicant funnel via Salesforce
  • Identified bugs, friction in the funnel, and areas for optimization to assist product, development, and marketing teams in rapid iteration and continuous improvement

  • Assist with the management and review of various team logistics 
  • Support team success by:
    • Familiarization with the various metrics and Looker reports used by the coach team
    • Reviewing individual EA stats and develop plans for improvement
    • Support EAs with any complex patients as an escalation or problem-solving partner
  • Recruiting/Interviewing:
    • Participate in recruiting, interviews and candidate screening, conduct reference checks for potential EA candidates as needed
    • Own, develop, and create a project/initiative that helps improves our enrollment rates, applicant experience, or EA experience/workflow
    • Demonstrate effective cross functional teamwork, ability to collaborate, and strong communication 

90-day plan

  • Complete the education and marketing training program (80+ hours of work) to become an expert on the Virta Treatment
  • Understand every step of the existing enrollment process
  • Become proficient in Salesforce and all internal systems
  • Shadow and take applicant phone calls 
  • Learn the various responsibilities of the Associate Manager role and assist with the management and review of various team logistics.
  • Learn what key performance indicators (KPIs) are used to track performance and understand how your day-to-day work impacts those metrics.
  • Actively contribute to team culture, learning, and overall process improvements by providing continuous feedback
  • Jump in and identify areas where we can improve to give more applicants access to the Virta Treatment!

Requirements

  • 2-3 years of customer service and inside sales experience (preferably in healthcare)
  • Demonstrated ability to build relationships and trust with others quickly on the phone and via email or text
  • A data-driven ability to use insights from qualitative conversations and quantitative metrics to build stronger relationships with applicants and improve conversion rates & improve enrollment
  • Experience in admissions, enrollment, consultative sales or recruiting roles and a desire to apply those skills to Virta
  • Excited to directly work with our applicants on the phone for >60-80% of their day
  • Excellent written and spoken communication
  • Familiarity with Google Apps; i.e., Gmail, Docs and Sheets and ability to learn basic proficiency in department Salesforce platform
  • Ability to multi-task while staying detail-oriented
  • Desire to learn and share the complicated science and intricate details of Virta’s novel treatment
